Fleet Operations
What the buying team should decide
A practical maintenance guide for rental fleets handling repeated setup, packing, repair kits, spare parts and event operation cycles.
Use the checklist to improve your specification and compare suppliers using the same product requirements.
- Rental fleets need packed-set discipline and fast field inspection.
- Repair kits, valves and replacement parts reduce downtime.
- Cleaning and drying routines protect fabric and seams.
- Fleet buyers should ask for spare parts planning with the quotation.
Make maintenance part of the purchase specification
A rental tent is handled, installed and packed repeatedly. Before comparing quotations, record the expected event frequency, crew size, vehicle space and time available between returns. Ask each supplier to describe the packed set and identify which components can be inspected or replaced without confusing one model with another.
- After each return: log fabric damage, valve condition, missing accessories and any wet components before the set is stored.
- Before redeployment: check that the tent, inflation equipment, anchoring items, repair materials and instructions match the labelled set.
- For repeat orders: retain the approved configuration, part references and packing list so replacement units can be reviewed against the same fleet specification.
If you are sourcing new units as well as planning maintenance, use our rental fleet supply route to brief the supplier on setup cycles, transport, spare parts and replenishment.
Questions for a rental fleet plan
Evaluate the tent across repeated setup, turnaround and repair cycles.
- What checks are needed after each event before cleaning, drying and repacking?
- Which valves, fabric parts and repair items should be planned for the fleet?
Share the expected event frequency, crew process and fleet size for an after-sales review.
